How Proprietary Formats Have Become Microsoft's Main Tool for Lock-In
The Document Foundation details how Microsoft Office formats create vendor lock-in through undocumented features and proprietary extensions — even after nominal standardization — affecting governments, schools, and businesses worldwide.
The Document Foundation, the nonprofit behind LibreOffice, has published a detailed analysis of how Microsoft uses proprietary document formats as a lock-in mechanism that keeps hundreds of millions of users tethered to its ecosystem.
The core argument is straightforward: when you save a document in a Microsoft Office format like DOCX, XLSX, or PPTX, the file contains undocumented features, private extensions, and behaviors that only Microsoft's own software can reproduce correctly. Other applications can open the files — but the formatting breaks. Bullet points shift, tables lose proportions, headings look different. A polished PowerPoint deck becomes slapdash in any other viewer.
This is lock-in without padlocks. It is not a technical ban or a contractual restriction, but a silent friction that makes any work outside the Microsoft ecosystem seem slightly unreliable, slightly unprofessional. The easiest path is always to return to the tools that produce documents with the expected appearance.
The sting is that Microsoft's Office Open XML (OOXML) format was submitted to international standardization bodies and approved. The Document Foundation argues this standardization is largely performative: the published specification runs to over 6,000 pages, contains gaps and ambiguities, and Microsoft's own implementation diverges from the standard in ways that preserve lock-in.
The post is part of a broader campaign by The Document Foundation to raise awareness about open standards and digital sovereignty, particularly as governments and public institutions increasingly face questions about vendor dependency in their IT infrastructure.
